At Embassy Travel Services, we strive to provide seamless and memorable travel experiences.
However, we understand that travel plans may change.
This Refund Policy outlines how cancellations and refunds are processed for all our services.

1. General Refund Guidelines

Refunds depend on:

  • Airline policies
  • Hotel & cruise line rules
  • Travel season (Peak / Non-Peak)
  • Supplier terms & conditions
  • Advance booking discounts
  • Promotional / non-refundable fares

Refund amounts are not universal and vary based on each vendor’s rules.

2. Cancellation by Customer

If you choose to cancel your booking, the following conditions generally apply (may vary based on supplier)

A. Tour Packages (Domestic & International)
  • 30 days+ before travel → Minimum cancellation fee
  • 15–30 days before travel → 25%–50% deduction
  • 0–15 days before travel → 100% cancellation, no refund
B. Flight Tickets
  • Refund depends entirely on the airline’s fare rules.
  • Some tickets (especially promotional fares) may be non-refundable.
  • Airline service fees + our service charges apply.
C. Hotel Bookings

Refund based on hotel cancellation policy.

Many hotels have:

    • 48–72 hours free cancellation, or
    • Non-refundable bookings during peak season.
D. Cruises

Cruise lines have strict slabs:

  • 45+ days: Partial refund
  • 30–45 days: 50% deduction
  • Under 30 days: Non-refundable
E. Visa Services

Visa service charges cannot be refunded once the application is processed.
We are not responsible for:

  • Visa rejection
  • Delay by consulate
  • Misrepresented documents
F. Travel Insurance

Insurance premiums are non-refundable as per insurer rules.

3. Cancellation by Embassy Travel Services

We may cancel or reschedule a tour/package only in situations such as:

  • Natural disasters
  • Government restrictions
  • Supplier failure (airline cancellation, etc.)
  • Operational reasons

In such cases:

  • Customers will be offered alternate datesalternate tours, or refunds as per supplier policy.
  • Embassy Travel Services is not liable for compensation beyond the supplier refund.

4. No-Show Policy

You are considered a No-Show when:

  • You miss your flight
  • You do not check-in to your hotel
  • You do not board a cruise
  • You do not join the tour on the scheduled date

No-show bookings are 100% non-refundable.

5. Refund Processing Timeline

Once your refund request is approved:

  • Domestic bookings: 7–14 working days
  • International bookings: 14–30 working days
  • Cruise bookings: 30–60 working days
  • Visa fees: Non-refundable
  • Insurance: As per insurer timelines

Refunds are processed after receiving credit from airlines/hotels/vendors.

6. Deductions & Service Charges

Refunds are processed after deducting:

  • Airline/hotel/vendor cancellation fees
  • Convenience or gateway charges
  • Embassy service fees
  • Taxes, if applicable
  • Administrative processing fees

These charges vary for each service.

7. Force Majeure / Unforeseen Situations

No refunds will be provided for delays, disruptions, or cancellations caused by:

  • War, terrorism, strikes
  • Natural calamities
  • Epidemics/pandemics
  • Weather issues
  • Political unrest
  • Border closure
  • Government advisories

However, we will assist you in rescheduling wherever possible.

8. Refund Mode

Refunds are issued to the same payment mode used during booking:

  • UPI
  • Bank Transfer
  • Credit/Debit Card
  • Online Payment Gateway

We cannot refund to someone else’s account.

9. How to Request a Refund

To apply for a refund, please contact us with:

  • Booking ID
  • Traveler Name
  • Travel Date
  • Reason for cancellation
